Each quilt you would like to enter in the Harvest of Quilts Show (HOQS) requires an original registration form (available to download from our website). You must be the owner of the quilt to enter it, but it is not a requirement that you made the quilt. Submit your registration form along with a liability release form to Harvest of Quilts, PO Box 3, Rosalia, WA 99170 This quilt registration form serves as the show information tag which hangs on your quilt while the quilt is on display. It must be completed entirely. We accept registration forms until July 1st, or when the show is full, whichever comes first. After July 15th, we are unable to accommodate changes to your registrations except to eliminate a quilt that is already registered. No substitutions are accepted. A quilt is registered when your completed registration form and the $10 registration fee has been received and we have confirmed your accepted entries. You will receive an email confirmation of your entries by July 5th. Exhibitors will be contacted by email regarding drop off or shipping dates for your quilts. Categories are: Open Group Made Heirloom/Family Heritage Quilts of Valor Art/Contemporary Youth Please note your Category on your registration form. ENTRY CRITERIA & REQUIREMENTS Please be advised that quilts which fail to follow entry criteria and registration requirements will be rejected. HOQS reserves the right to refuse any entry for any reason and all decisions of the Board will be final. Definition of a quilt for the Harvest of Quilts Show A quilt is two layers of fabric with a filling that is stitched together with lines or a pattern. At least one layer must be pieced. Quilting may be done by hand or by machine. Tied quilts also meet the definition of a quilt for this show. Our show hangs quilts that are square or rectangular. We are unable to hang quilts which do not have right angles and straight edges - we cannot hang quilts whose shapes are round, jagged, or "jigsaw" shapes. Please be advised that quilts which fail to follow entry criteria and registration requirements will be rejected. HOQS reserves the right to refuse any entry for any reason and all decisions of the Board will be final. Size Quilts for outdoor display should be at least 36" x 36" and may not exceed 104" in width or length. We cannot accept stuffed animals, tablecloths, pillow shams or other non-quilt items with the exception of ART style quilts or wall hangings. Shapes other than squares and rectangles are discouraged and may not be displayed due to difficulty in hanging in our show. If you would like to enter a small quilt/wall hanging we have limited indoor space to hang quilts under 36" by 36", please request "indoor hanging" on your entry form. Label A fabric label sewn to the back of each quilt is required. The quilt name and exhibitor's name on the label should match the information on your registration form. Registration Entry Fee A $10.00 entry fee is requested per person (not per quilt). You may enter up to 5 quilts with each $10 entry fee. You will need to send payment with your quilt registration forms. FEES ARE NOT REFUNDABLE: All fees related to the registration and hanging of quilts cover the administrative costs associated with the event office, labor, and tasks necessary for tracking, sizing, placement sorting, bagging, transporting, hanging, take down, and returning your quilt. This work is done whether or not the show goes on. We can't guarantee that your quilt will hang if any environmental conditions are prohibitive. We will only hang quilts if it is safe for the quilts, our volunteers, and our visitors. If necessary, we may be able to hang some quilts indoors. Registration To register your quilts, print & return the forms found at the top of this page to: Harvest of Quilts, PO Box 3, Rosalia, WA 99170 An original registration form is required for each quilt. This form serves as a show information tag and must be completed entirely. The "Quilt Story" section is for interesting information about your quilt and is limited to 200 words. We will return forms that are not complete, and we do not hold space for quilts with incomplete registration information. Registration Deadline: The deadline to register quilts is July 1st, or when we reach show capacity, whichever comes first. Please do not wait to register your quilts. You will receive an email confirmation for your accepted entries by July 5th. Sale Quilts We only accept one quilt of a given pattern for sale from each quilter. Photos of sale entries are required with completed registration forms. Photos can be of the finished top prior to quilting. Please do not send a photo of the quilt pattern in lieu of a photo of your quilt. SALE COMMISSION: HOQS handles all sales and retains a 20% commission. Checks for sold quilts are mailed within 14 business days after the show date. Quilts entered for sale must adhere to copyright law. HOQS may purchase your quilt for future resale. Liability Release Quilts in our show are hung outdoors and are subject to outdoor elements (wind, dust, dirt, smoke, pollen, and other wind-borne elements, or other elements associated with hanging outdoors on buildings). We can't guarantee that your quilt will hang if any environmental conditions are prohibitive. We will only hang quilts if it is safe for the quilts, our volunteers, and our visitors. Quilters enter their quilts at their own risk. Insurance is the sole responsibility of the entrant. HOQS or its sponsors assumes no liability for the loss or damage to the quilts. Reasonable care is taken to prevent loss or damage to entrees. Each exhibitor must sign a Release Agreement indicating that you are aware of the potential hazards of your quilt hanging out of doors. And adult is required to sign the release for any entrant under the age of 18. QUILT DELIVERY In Person - Quilts may be delivered to the Rosalia Library between Saturday, July 08th and Thursday, July 20st. If we do not receive your quilt by July 20st, we will not guarantee it will be hung in the show. The 2023 show event office location will be available on or about July 1st. Please check our website for the event office location. Shipping - Quilts may be shipped to arrive after July 15th to our Show Event Office, whose location will be published on or about July 1st. We will do our best, but we cannot guarantee the return of special packing material such as noodles, pillowcases, etc. QUILT RETURN ALL QUILTS MUST REMAIN ON DISPLAY FOR THE DURATION OF THE SHOW. Please Select your Quilt pick up time on your entry form. Quilts can be picked up at the Quilt Show Event Office on: Saturday July 22rd - 4pmto 5pm Sunday, July 23th - 11am to 4pm Tuesday, July 25th - 10am to 5pm Thursday, July 27th - 3pm to 7pm RETURN SHIPPING & Signature for shipper to leave package: We are happy to ship your quilt back to you. Return shipping must be pre-paid at the time of registration. Quilts will be return shipped by Wednesday, July 27th via UPS Ground. We ship UPS Ground Signature Required for an additional $4.00 UPS fee. PLEASE NOTE: If you choose to have your quilts return delivered without a UPS ground signature, you must indicate that you choose this option. Choosing this option indicates that HOQS is not responsible for quilts after delivery left at your address.
